Explained ยท telecom costs
Telecom costs per cost centre, without the monthly puzzle
A site manager is charged telephony costs for numbers she does not recognise. Finance cannot trace them either, because the invoice shows numbers, not people. So every month the costs are split in a spreadsheet, or simply paid without question.
With Valvarius by RoamIQ, the telecom management portal, you can once again see who incurs each cost, and which department and cost centre it belongs to.
Costs where they belong
We start with the invoice you receive today. How far it goes depends on your operator and on how employees are linked to cost centres.
Each budget holder sees their own share
Costs per employee, department, cost centre and location, with previous months alongside. Costs are collected and allocated automatically.
Numbers with no usage are followed up
If a number goes unused for a while, the employee gets an email. If there is no reply, the manager decides. Cancelling is one click.
Anomalies stand out
High usage, no usage, roaming: you see straight away where to look. Alerts are based on current usage, so you don't wait for the invoice.
How do you get telecom costs per cost centre?
Valvarius imports the operator's invoices and allocates the costs according to your own structure: per employee, department, cost centre and location. A dashboard shows what stands out, such as high or low usage, numbers with no usage and roaming. Reports and exports go to finance, with fixed-line costs alongside.
When you start, lines often turn up that have had no usage for a long time, or that are still in the name of someone who has left. A cost centre structure that has fallen behind shows up too. Getting started doubles as a clean-up.
Does Valvarius check the invoices too?
Not against tariffs. Valvarius allocates the costs, shows which numbers have no usage and is part of day-to-day management: who joins and who leaves. If you already work with a provider that audits invoices (TEM), they do not have to go. What happens to the line when someone leaves
A question for your budget holders: which charges allocated to them can they explain themselves?
Their answer shows where insight currently stops.
Frequently asked questions
Can Valvarius limit usage?
Yes, through the operator
Valvarius sets options with the operator the way you want them, such as a data limit, no roaming outside Europe or blocked premium SMS, and keeps an eye on them.
Does this work with more than one operator?
Yes
All lines sit in one environment, even if you use more than one operator. You can filter by operator.
Can employees see their own costs?
Yes
In the portal, employees see their own subscription, usage and costs. A manager sees the team.
Are fixed lines included?
Yes, for insight
Fixed-line costs appear next to mobile. We look together at how calls through Microsoft Teams are billed for you.
Does every budget holder know what their department spends on telephony?
In a half-hour meeting we'll look at how costs are split today and where that gets stuck. Afterwards you'll know which costs will land in the right place by themselves and what remains manual. In the Netherlands we come to your office; elsewhere we meet on Microsoft Teams.
