Cancel mobile subscriptions when employees leave

An employee leaves on Friday. The account is closed, the laptop comes back, the phone disappears into a drawer. And the line? It can easily end up on nobody's task list and keep running on the invoice.

Usually it goes fine. It goes wrong with the exceptions: temporary cover, an intern, someone leaving in the middle of the summer holidays. As long as that SIM works, login codes for business accounts can still arrive on it by text, on a number that belongs to you.

With Valvarius by RoamIQ, the telecom management portal, that no longer depends on who remembers.

What HR, IT and finance notice

How much of this runs by itself depends on your account management and your operator.

HR no longer has to email anyone

The account IT closes anyway is enough to start the cancellation. No form, no ticket.

No subscription for an empty desk

A line belonging to someone who has left stands out, even when nobody was looking for it.

An answer when security asks

What happened to a number, and when, is on record. Nobody has to dig through old emails.

How does cancelling work when an employee leaves?

Valvarius uses the work account employees sign in with. When that account is disabled or deleted, Valvarius treats it as a departure. You choose: Valvarius cancels the line by itself after a waiting period, or an administrator confirms it with one click. The line ends on the date the operator confirms.

Getting started often brings these to light: lines still running in the name of people who have left. You can clear them up right away.

Our managed service provider already handles this.

Once they hear about it, yes. The gap is before that: between the last working day and the moment someone passes on the cancellation. Valvarius takes over that part, and if a question about that number comes up later, the answer is already there.

A question for finance: can we see for every subscription on the invoice whether the user still works here?

“Not sure” is a useful answer too.

Frequently asked questions

What if an account is closed temporarily, for leave or illness?

You choose

Valvarius only sees that the account is closed, not why. So you choose: cancel after a waiting period you set yourself, or have an administrator review every departure first.

Does this work with our HR system?

Not directly yet

The trigger currently comes from the account IT closes, so HR does not have to do anything. A direct link with the HR system is something we set up together with the first organisations that want it.

Do we still need to send anything to the operator?

No

Whether you let cancellations run automatically or confirm them with one click: Valvarius handles the rest with the operator.

Is the eSIM removed from the device too?

No

That stays with your MDM. Valvarius handles the cancellation with the operator.

What happened to the line of the last colleague who left?

In a half-hour meeting we'll look at how a departure works for you today, exceptions included. Afterwards you'll know what can run by itself from now on and where someone still needs to keep an eye on things. Nothing to prepare. In the Netherlands we come to your office; elsewhere we meet on Microsoft Teams.
